Cass County Clerk/Register’s Office to implement new land and vital records software

The Cass County Clerk/Register of Deeds’ Office announced on March 18 that it will implement new records management software aimed at improving efficiency, security, and public access to county records.

The office is transitioning to two systems: AVID for land records management and APEX for vital records. The change is intended to streamline processes for both staff and residents, especially when ordering documents such as birth, death, and marriage certificates.

Monica McMichael, Cass County Clerk/Register of Deeds, said the new software will make it easier for residents to order records online and receive digitally certified copies. “The Clerk and Register of Deeds moved away from microfilm and paper copies in 2006 when the offices transitioned to Tyler Technologies software,” McMichael said. “We consider the move to Fidlar an upgrade that will once again greatly reduce paper printing in the Clerk/Register’s Office and better serve the public.”

Fidlar Technologies assisted with data conversion, installation, and staff training during the implementation process. The company will be present at the Clerk/Register’s Office at 120 N. Broadway St., Cassopolis, on April 8 to offer training sessions for interested individuals. Those wishing to participate are encouraged to email clerk@cassco.org.

The AVID system includes features such as electronic document submission (eRecording), touch-screen assisted indexing technology called iNSPECT, advanced reporting tools, improved workflow for faster processing times, a secure hosted environment for disaster recovery, and enhanced search capabilities through Laredo Anywhere and Laredo Connect.

The APEX system will allow residents to start marriage license applications online from home. Applicants can validate information at a kiosk in the office and sign documents digitally. Both AVID and APEX use a secure hosted environment designed to protect data while improving accessibility.
